Import positions is the walk-through organization administrators use to bring crew spots into Game Structure from a file. Officials who only work games cannot import, and neither can coaches, athletic directors, League Personnel, or location personnel. On a phone the page heading may say Structure.
Use this article when you have a list of positions to load, a downloaded list to update, or a batch of crew spots you would rather confirm once than type one at a time. To add one position by hand, stay on Game Structure. League names and game-code names in the file are record names, not people's names.
If the page still asks you to Select your file and Import file without Options, File, and Preview steps, you are on the older legacy layout. Skip ahead to If you still see the older legacy desktop or laptop layout at the end of this article.
Who can import, and how to turn it on
Import positions is for organization administrators. Open System Settings if you need to confirm you can change organization settings. Build leagues and game codes first when your organization uses them, so the names in the file can match records you already have.
Some demo organizations can preview a file but cannot finish the import. The page says This demo organization can preview a spreadsheet, but it cannot import these records.
Where to open it
On Game Structure, open Utilities and, under Position tools, choose Import positions. You can also open Import positions directly.
On a phone, Utilities is the gear without the word. If you do not see the import item, your membership cannot change Game Structure.
Prepare the file
Horizon reads the first 2,500 data rows. Split a larger list. The file can be CSV, tab-separated or plain text, or an Excel workbook (.xlsx). Save older .xls files as CSV or .xlsx first, and keep the file at 8 MB or smaller.
On the first step, choose Download template if you do not already have a file with the column headers Horizon expects. Horizon downloads it as import-template.csv. Horizon asks Download a template? Then choose Include example rows to put sample positions under the headers so you can see how each column is meant to look. Those sample values are only teaching. Remove those examples before you import your own records. Blank file only gives you the same headers with no sample rows.
You can keep working in that CSV, or use Save As in Excel and choose CSV or Excel Workbook (.xlsx). Do not save it as a PDF, and do not save it as the older Excel format (.xls).
Required columns are Position, Game Code, and League when your organization uses leagues. Position is the crew spot. League and Game Code are league names and game-code names, not people's names. Optional columns in the template include fee, rank, how many are needed per game, and similar settings. Extra columns that Horizon does not use appear as a warning.
Column headers do not have to stay in template order. If a league name or game-code name in the file is not found, that row needs a fix unless you are allowed to add missing names.
Amend or replace
The first step is titled Import type. The coach line says Amend keeps positions that are not in the file, and Replace turns unused positions off.
Amend existing positions adds new positions and updates matches. Positions that are not in the file stay as they are. That is the everyday choice.
Replace the list adds or updates rows in the file, then turns off active positions that are not in the file. Use replace only when the spreadsheet is the complete list you want to keep. Horizon later asks you to type a confirmation phrase such as DELETE 12 POSITIONS before anything is turned off.
Choose Continue after you pick amend or replace.
Add the file
Continue to Spreadsheet file, then drop the file on Drop a file here or choose Choose file. After a file is selected, that control becomes Choose a different file. Download template is also here if you still need a sample.
If the type is not accepted, Horizon asks you to save as CSV or .xlsx. A file larger than 8 MB must be split. If the headers belong to a different import, Horizon tells you this spreadsheet is missing the column names this import needs.
Review positions before you import
The Preview step shows every importable row. Read it carefully, because it is easier to choose Cancel import and fix the file than to repair positions after they change. The coach line says warnings mean an existing position will be updated.
Four counts sit at the top: All, Needs a fix, Warnings, and Ready. Tap a count to filter the list. Needs a fix blocks import for that row. Warnings still import. Ready rows import as written.
Select a row to open Fix this. That panel has four parts when they apply:
Your file shows the cell Horizon used.
Horizon checked explains what it found, such as a missing position or a league name that was not found.
Closest matches lists league names, game-code names, or position names you can copy into the file.
Do this next tells you how to fix the cell, then preview again.
Typical Needs a fix items include a missing position, a missing game code, a missing league when leagues are used, or the same position twice in the file. A warning such as This position already exists and will be updated still imports. Rows that still need a fix are left out. Choose Cancel import if you would rather fix the file first. Horizon asks Leave this import? Confirm Cancel import or Keep this import.
How we read this file
On Preview, open How we read this file when a position, league name, game-code name, or column looks wrong. This is not a second import. It shows how Horizon understood the spreadsheet: file type and size, Columns we read, and Filter by problem.
Columns we read maps each letter to the header in the file, the Horizon field, and how it was matched: Column name, Similar column name, Usual place in the file, or Near the usual place. If a required column could not be matched, Horizon stops and asks you to add a header it can read or use the template.
Import and results
When no blocking errors remain, choose Import. Horizon asks Import these rows? Ready rows are added or updated. Rows that still need a fix are left out. Replace also asks you to type the confirmation phrase before unused active positions are turned off.
After the work finishes you see Import finished with counts for Created, Updated, Skipped, and Removed from use when replace turned positions off. Choose Close to return to Game Structure.
Limits that still apply
Horizon reads the first 2,500 data rows.
Maximum file size is 8 MB. Accepted types are CSV, text, TSV, and .xlsx.
Position, game code, and league (when used) are required.
Replace turns off active positions that are not in the file. Type the confirmation phrase exactly.
Preview the file before you import. Cancel and fix the file when something looks wrong.
If you still see the older legacy desktop or laptop layout
Some members still import from the positions page icon menu, not under Utilities on Game Structure. That older path says Import positions, asks you to save a Windows CSV (comma delimited) file, then Select your file and Import file. There is no Options / File / Preview walk-through and no Fix this panel. Use a CSV only, keep the template column order, and read the confirmation before you replace existing data. The older confirmation can ask Delete ALL existing positions? and require a phrase such as DELETE ALL POSITIONS.
