New Horizon Experience. This article describes the New Horizon Experience, which is available now. In the Horizon WebRef mobile apps for Android and iOS, New Horizon is already what you see. On a computer or laptop you see it when you are in New Horizon. If you still have the older layout, choose Try the New Horizon Experience from the banner or your account menu. You can switch back from that menu any time.
Documents is the shared file library for your organization in HorizonWebRef. Open Documents from Shared in the menu after you sign in. The page title is Documents. On a larger screen the line under it reads Organization files shared with members.
Use this article when you need a handbook, form, or other file your organization posted, or when you are the person who uploads and organizes those files. Every approved member can open Documents and download files they are allowed to see. Officials who are not general members, including assignors, observers, and organization administrators, can also add folders, upload files, rename or move items, and delete them. Coaches, athletic directors, League Personnel, and location personnel browse only, and they see the folder that belongs to their role.
Documents is part of the organization. There is no switch to turn the page itself on or off. Organization administrators can buy extra storage from System Settings when the 50 MB included with the subscription is not enough. That add-on is described in Extra Document Storage Space.
Open Documents and find a file
Sign in, then open Documents. On a computer you see folders on the left and a table of names, last modified times, and sizes. On a phone the same library uses cards, and the folder list becomes a menu near the top.
On a computer, the same library uses the wider table layout.
Tap or click a folder row to open it. Tap or click a file row to download it. The page stays on Documents while you move between folders. Each folder has a sky-colored stripe on its left edge, and each file has an orange stripe, so you can tell them apart at a glance. Use Back or Parent Folder when you are inside a folder and want to step up one level. That Back row uses a dark stripe (black in the light appearance, white in the dark appearance). Last modified times follow the date and time format on your account.
On a computer, Back is the first row in the table, with that same dark stripe.
If a folder has nothing in it yet, the list says No files contained in this folder.
Who sees which folders
Think of the Officials library as the main Documents folder, sometimes called the root. That is the default list when an official opens the page. Folders you create there are for officials. Officials can open those folders and download the files inside them.
Horizon also keeps separate libraries for other membership types when your organization has people in those roles:
Coaches
Athletic directors
League Personnel
Location personnel
Those libraries appear automatically when at least one approved person has that role. A coach only sees the coaches library. The same is true for athletic directors, League Personnel, and location personnel. They cannot open the Officials root or another role's library.
Officials, including general members and observers, see the Officials library. They do not see the special libraries that belong to coaches or the other roles. Officials who can manage Documents can switch among those libraries from the folder list so they can post files for each audience.
General officials who only need to read files still open Documents, but they do not see Create New and they do not see storage. Their list looks like this.
On a computer, that same browse-only view uses the table without the folder sidebar or storage bar.
Add a folder or a file
If you can manage the library, Create New sits next to Utilities. On a phone that control is the plus button. Open it and choose Folder or File.
On a computer, Create New shows the same Folder and File choices.
Create a folder
Choose Folder. The window is titled New Folder. Type the Folder Name and save. The name must be 4 to 25 characters. Letters, numbers, spaces, hyphens, parentheses, square brackets, and underscores are allowed. Horizon does not allow two folders in the same place that differ only by capitalization, so Handbook and handbook count as the same name. If that happens, you will see A folder with this name already exists.
The folder is created in the library you are viewing. After it saves, the short message is Folder created!
Upload a file
Choose File. The window is titled Upload File. Select one or more files, pick the folder they belong in if you need to, and decide whether to send Email Notification. The checkbox reads Send email notification to members of this folder. Leave it selected when people should know a new file is waiting. Clear it when you are only replacing something quietly.
Each file can be up to 15 MB. If a file is larger, the page says This file is too large and Maximum allowed size is 15 MB. Share longer video through the Videos library instead. A successful upload says Uploaded successfully.
Use everyday office and image formats: PDF, Word, Excel, PowerPoint, CSV, plain text, PNG, JPEG, GIF, and BMP. If the file type is not allowed, you will see This file type is not allowed.
Rename, move, or delete
On a row or card, open the three-dot Action menu. Rename opens Rename Item. You can change the name and, for a file, choose a Destination folder, including Root folder for the main Officials library you are in. After it saves, the short message is Item renamed.
If another file already uses that name, you will see A file with this name already exists. The same idea applies to folders.
Delete is permanent. The window is titled Delete File or Delete Folder. It explains that this cannot be undone, then asks you to type DELETE FILE or DELETE FOLDER to confirm. After it finishes, the short message is File deleted! or Folder deleted! The built-in coaches, athletic director, League Personnel, and location personnel libraries cannot be deleted.
Storage
People who can manage Documents see a Storage bar. Free Tier means the organization is still on the 50 MB included with the subscription. Upgraded means extra megabytes were purchased. The usage line shows how much of that cap is used, for example a percent with the amount used of the amount allowed.
When the library is full, uploads stop and the message is Storage exceeded: You have used all available document storage. Delete files or purchase more storage. Organization administrators buy more space from System Settings. Details and pricing are in Extra Document Storage Space.
Help Center from Utilities
Utilities is the gear next to Create New. On a phone the label is the gear only. Open it and choose Help Center to open this article.
On a computer, Utilities shows the same Help Center item.
If you still see the older layout
On a computer or laptop, the older legacy layout stays until you choose Try the New Horizon Experience from the banner or your account menu. This article describes the New Horizon screen. Until that older layout is retired, use the English words you see there.
The older desktop or laptop layout still says Documents at the top. Officials who can manage the library see Add Documents instead of Create New, and Create New Folder with a Create Folder button at the bottom of the page. Rename and move use the pencil labeled as edit, not Rename on the three-dot menu. A note on that older screen tells you to right-click a file and choose Save Link As or Save Target As. Built-in role folders and the 15 MB / 50 MB limits are the same idea. That older upload path also accepts Rich Text, OpenDocument, and Google Slides files in addition to the everyday office and image types above.
