How to add people to contact groups

Add officials when you create or edit a group, or add several people at once from Missing Memberships and Memberships by Official.

This article covers every way to add Officials to contact groups on Contact Groups in HorizonWebRef. The everyday way is the Group Members list while you create a group or edit an existing one. Missing Memberships and Memberships by Official are extra tools under Utilities when you want to find people with no group yet, or change many people's groups at once.

It is for signed-in Officials who belong to an organization. Coaches, athletic directors, League Personnel, and Location Personnel cannot be members of contact groups. See How to create Contact Groups for group names, sharing, and ownership.


Add people when you create or edit a group

Open Contact Groups from Users in the side menu, or use Contact Groups.

To start a new group, tap Create Group. On a phone that control is the people-plus icon and does not show the words Create Group. The panel title is Add New Group.

To change who is in a group you already have, tap that group on the Contact Groups list. Groups you can edit show a pencil. The panel title is Edit Group. Groups you cannot edit stay on the list but do not open for editing.

Enter or keep the Group Name. Under Group Members, choose the Officials who belong to this group. The empty list reads None selected. Use Search to find someone. You can add people with Select visible, clear people with Clear all, then tap Done.

You must choose at least one Group Member before you can save. If the list is empty, you see Please select at least one Group Member. Optional sharing fields are Edit Permission and Read-Only Permission.

On a new group tap Add New Group. When you edit later, tap Save Changes. While that save is running, the control reads Saving... A short confirmation reads Group saved successfully.

This is the usual way to add or remove people for one group. You do not need Missing Memberships for that.


Add people across many groups

Use these tools when you want to find Officials who are not in any of your groups yet, or review and change many people's groups from one list. They sit under Utilities on Contact Groups. On a phone that control is the gear icon and does not show the word Utilities. They also appear under Utilities on the full Create Group or Edit Group page.

  • Missing Memberships lists approved officials who are not in any of the contact groups you can see.

  • Memberships by Official lists every approved official so you can add or remove the contact groups they belong to. The word Official follows your organization's people label.

If a group is already open on the side, a smaller window opens in front so you can keep that group. Otherwise a panel slides in from the side. Close the memberships panel first when you want to keep editing that group.

You need at least one contact group that you created or can edit before these tools can add people. Contact groups are not turned on by a system setting. Any Official in the organization can create their own groups. If you open Missing Memberships before you have a group, the panel says You do not have any contact groups yet. The hint is Create a contact group first, then come back here to add people. Tap Create a contact group to close that panel and open Create Group.

At the top of the panel, choose Missing memberships or All memberships to switch between those two lists. Switching reloads the list. It does not save or discard changes by itself.


Find a person in those lists

Use Search by name. The field placeholder is Type a name. Matching is as you type. If nothing matches, you see No names match that search.

When everyone on Missing Memberships already belongs to at least one of your groups, the panel says Everyone on this list already belongs to at least one of your contact groups.


Add or remove groups from a person

Each person is a row with their name and the groups they already have. No groups appears when they are not in any of your groups yet. Tap a person to open Contact groups for that person. Only one person is open at a time. The accessible name on each row is Memberships for that person's name.

Search that list, choose one or more groups, then tap Done.

On Missing Memberships, choosing groups adds those memberships. It does not take the person out of a group.

On Memberships by Official (the All memberships choice), you can add groups and also clear groups you can edit. Groups you cannot edit stay as they are.

A change saves shortly after you choose it. A short confirmation reads Memberships saved. A Save button stays at the bottom of the panel if you want to save right away. While a save is running, that button reads Saving memberships.

If nothing needs saving, you see Your changes are already saved. If the save cannot finish, you see Those memberships could not be saved. Try again.


Who appears, and which groups you can change

The Contact Groups list, Group Members list, and memberships tools include approved Officials in your organization. They do not include people who are not Officials, and they do not include sample or designer accounts.

You can only add people to groups you created or that give you edit access. Shared read-only groups do not appear in the Contact groups list on Missing Memberships. Deactivated groups are hidden.

Contact groups stay private to the creator unless that person shares them. Organization administrators do not automatically control every group. See How to create Contact Groups for sharing and taking ownership.
