New Horizon Experience. This article describes the New Horizon Experience, which is available now. In the Horizon WebRef mobile apps for Android and iOS, New Horizon is already what you see. On a computer or laptop you see it when you are in New Horizon. If you still have the older layout, choose Try the New Horizon Experience from the banner or your account menu. You can switch back from that menu any time.
This article covers sending organization email to a whole list of people in HorizonWebRef - for example every official, or everyone in a contact group such as a weekend crew. The everyday path is Compose Email. You can also start from Members Directory when you already have people selected.
Assignors and organization administrators use these steps most often. Officials who can open Compose Email can also choose recipients they are allowed to message. Use this when you need one announcement or reminder to go to a role list or a reusable contact group, not when you only need to email one person from their directory card.
Before you send
Create the contact groups you need first. From Compose Email, choose Manage contact groups in the Contact Groups tip panel, or open Contact Groups from Members Directory Utilities. For building and editing groups, see How to create Contact Groups and How to add people to contact groups.
Organization administrators set how many people one message may include under System Settings, in the sport and mass email defaults, as Mass email maximum. Unlimited removes that cap. If someone selects more people than the maximum, Horizon asks them to refine the list before send.
If Compose Email shows Messaging Feature Disabled, only an organization administrator can turn messaging back on for the organization. Horizon support cannot enable it for you.
Email a list from Compose Email
Open Compose Email from Email in the menu (or from a schedule Email action that opens compose). The page title is Compose Email, with the line Send messages to people in your organization. Large sends run in the background.
Under Recipients, open the To field. The picker lists Contact Groups, then All by type (role shortcuts such as Officials, Coaches, Athletic Directors, League Personnel, and location personnel), then individual People. Search narrows the list. At the top of the open list, Select visible and Clear all stay easy to read on the dark menu and apply to what is currently shown. Choose Done when the selection looks right.
On a computer, the same picker opens under To in the wider layout.
Send to Officials (or another type)
In the To picker, scroll to All by type and check Officials when you want everyone in that role. The same section offers other role shortcuts your organization uses. The field then shows a count such as 1 selected. Add a subject, write the message, and choose Send Message.
On a computer, check Officials the same way in the open To list.
You can combine a type shortcut with a contact group or a few named people. If the same person appears more than once in your selection, Horizon still sends only one copy of the message to that address when you send.
Send to a contact group
In the same To picker, check a name under Contact Groups. After you choose Done, the group appears as a chip under To, such as Weekend Crew. Remove the chip with its X if you change your mind. Then finish the subject and message and choose Send Message.
On a computer, the contact group chip appears under To the same way.
Start from Members Directory instead
Open Members Directory from Directory in the menu. Choose the list you need - for example Officials - from the side list on a larger screen, or from the directory dropdown on a phone.
Organization administrators can select people with the checkbox on each row or card. Use Actions, then Select visible, to select everyone already loaded on the screen. Then open Actions again and choose Email. Compose opens with those people already listed as recipients.
On a computer, select the list, select the people, then choose Email from Actions.
Select visible only covers people already shown. Scroll the directory so more names load before you select again if the list is long. For a whole role or a whole contact group without scrolling every page, prefer the Compose Email To picker and choose Officials under All by type, or the contact group under Contact Groups.
To email from a contact group in the directory, open that group in the list first - for example Weekend Crew - then select people and choose Actions, then Email.
On a computer, the contact group sits in the directory side list.
For the rest of the directory - search, Ready status, Utilities, and pending approvals - see How to use the Members Directory.
After you send
Large sends continue in the background. Watch the status ribbon for progress. Attachments are limited to 7 MB per file and 10 MB total.
If you still see the older legacy desktop or laptop layout
On the older Members Directory, open Displaying Directory: and choose All Officials or a GROUP: contact group name. If the group has more than 50 members, choose ALL in the letter row so the full list can appear. Select people with the row checkboxes or the select-all control, then choose Email Users from the toolbar.
Compose Email with Contact Groups and All by type (including Officials), Select visible in that picker, and directory Actions then Email belong to the New Horizon Experience. Building contact groups and the idea of emailing a whole list are the same on both layouts.
