Virtual meetings with Zoom

Connect Zoom, schedule virtual meetings from Horizon, and join from the meeting notice or your schedule.

New Horizon Experience. This article describes the New Horizon Experience, which is available now. As of September 28, 2026, New Horizon is the default starting point on a computer or laptop. In the Horizon WebRef mobile apps for Android and iOS, New Horizon is already what you see. If you still have the older layout, choose Switch to New Horizon from the banner or your account menu. You can switch back to Legacy Horizon from that menu any time during the transition.

This article covers virtual meetings with Zoom in HorizonWebRef - connecting a Zoom account, turning a meeting into a Zoom session when you add or edit it, and joining from Event Details or your personal schedule.

Organization administrators connect Zoom for the whole organization under System Settings. Any member can connect a personal Zoom account under Personal Profile. Anyone who can add meetings can host a virtual meeting once a connection is available. Invited officials and staff join from Horizon when the join window opens.

Virtual meetings with Zoom are in limited release today and will be coming to all organizations soon. Where you already see Zoom in System Settings, Personal Profile, or Add Meeting, the steps below are how the feature works.

How Zoom works with Horizon

​

When you save a meeting with Virtual meeting (Zoom) on, Horizon creates a matching Zoom meeting and keeps the topic, start time, and length aligned when you edit that meeting later. Join opens about twenty minutes before the start time and stays available until the meeting ends. Officials and staff use Join meeting on the Event Details virtual meeting card or from Actions on their personal schedule - they do not need a separate Zoom calendar invite to get into the session through Horizon.

You can still pick a physical location, or leave location blank for Virtual Event Only. Horizon respects Zoom's meeting-length limit for the connected account, so a long Horizon meeting may need a shorter end time before Zoom will accept it.

Connect Zoom for your organization

​

Organization Zoom is the shared connection anyone who can add meetings may use. Open System Settings, then choose Integrations from the overview tiles or the left list. On the Zoom card, choose Connect and finish signing in with Zoom. When the link succeeds, the card shows that Zoom is connected. Use Re-authorize connection if the link stops working or you switch Zoom accounts, and Disconnect Zoom if you need to remove the organization connection.

Connect your personal Zoom account

​

A personal connection hosts virtual meetings you create with your own Zoom account. Organization Zoom still lives under System Settings. Open Personal Profile, then Connections. On the Zoom card, choose Connect Zoom and finish signing in with Zoom. When it is linked, you can Reconnect Zoom or Disconnect Zoom from the same card.

Turn on a virtual meeting when you add or edit

​

From Master Game Schedule, add a meeting as you usually do, or open an existing meeting to edit. On Add Meeting (or Edit Meeting), find the Virtual meeting section. Turn on Virtual meeting (Zoom).

If no Zoom connection is ready yet, Horizon shows No Zoom connection yet with shortcuts to Open Integrations and Open Connections. Connect Zoom there, then return and save the meeting. When a connection is available, choose Zoom connection - Organization Zoom or My Zoom - then save.

Location stays optional. Leave it blank for Virtual Event Only, or keep a rink or venue if people still meet in person and join Zoom as well.

Join a virtual meeting

​

Open the meeting from your schedule or from Event Details. The Virtual meeting card sits above the location details. About twenty minutes before start, Join meeting becomes available. Before that window, Horizon shows when join opens. After the meeting ends, join is no longer offered.

On your personal schedule, Join meeting can also appear under Actions for that meeting while the window is open. Horizon opens Zoom for you through a secure join link - you do not need to hunt for a separate meeting ID in email.

If the Zoom connection used for that meeting needs attention, the card can show Needs reconnect. An organization administrator chooses Re-authorize connection for organization Zoom under Integrations, or the host chooses Reconnect Zoom under Connections, then edits the meeting if Zoom still needs an update.

Attendance

​

After people join through Zoom, assignors and organization administrators can review an Attendance card on Event Details. Each person appears as a short list row with their name, when they joined and left, and how long they stayed. Choose Export on the card to download a spreadsheet of that list. Empty attendance simply means no join or leave activity has been recorded yet.

Disconnecting Zoom

​

Disconnecting removes the Horizon link to that Zoom account. Virtual meetings that still depend on it may show Needs reconnect until someone connects Zoom again. If future meetings still use the connection, Horizon asks you to confirm before disconnecting.

If you still see the older layout

​

Virtual meetings with Zoom are part of the New Horizon Experience. If you are still on the older legacy desktop or laptop layout, switch to New Horizon from the banner or your account menu to connect Zoom and schedule virtual meetings with these steps. Meeting invitations, publishing, and RSVP on the schedule still follow the same Scheduling Meetings workflows your organization already uses.
