Adding games to your officiating organization's schedule is a crucial task managed primarily by users with Scheduler, Assignor, or Administrator permissions. This guide will walk you through the various methods available for adding games, including single games, recurring games, importing via spreadsheet, and more.
Adding Games via the Master Game Schedule
Navigating to the Master Game Schedule
To add games, users with the appropriate permissions (Scheduler, Assignor, or Administrator) should navigate to the Master Game Schedule page. From there, they can select the Add Games option located in the top toolbar.
Permissions and Access
If the Add Game option is not available, it may indicate that the scheduler or assignor has been restricted from adding games by the officiating organization's administrators. By default, users with the roles of coaches, athletic directors, and league personnel cannot add games. However, this can be changed by an administrator.
Enabling Game Addition for Coaches, Athletic Directors, and League Personnel
System Settings Adjustment
Officiating organization administrators can grant permission to coaches, athletic directors, and league personnel to add games. This can be done by:
Navigating to the System Settings page.
Selecting the Features & Settings tab.
Enabling Feature #23.
Adding Games
Once enabled, these users can navigate to their Game Schedule page and use the Add Games option in the top toolbar. Note that they can only add games individually, one-by-one.
Methods for Adding Games
Options Available to Schedulers, Assignors, and Administrators
Schedulers, assignors, and administrators have multiple methods for adding games. These options are accessible under the Add Games menu:
Add Single Games: For adding games one-by-one.
Add Recurring Games: For adding a recurring pattern of games in bulk.
Import from Spreadsheet: For importing games via a spreadsheet file.
Import from SportsEngine: For importing games using the SportsEngine API connection.
Add Meetings: For adding meetings to the game schedule.
Adding Single Games
This option allows you to add individual games to the schedule. It's ideal for adding unique games that don't follow a recurring pattern.
Adding Recurring Games
This feature is useful for adding multiple games that occur on a regular basis (e.g., every week or every month). It saves time by allowing you to input the game details once and apply them across a specified date range.
Importing from Spreadsheet
If you have a large number of games to add, importing from a spreadsheet can be efficient. Ensure that your spreadsheet follows the required format for successful import. This method is especially useful for bulk game uploads.
Importing from SportsEngine
For organizations using SportsEngine, you can import games directly using the SportsEngine API connection. This ensures synchronization between your SportsEngine account and your officiating organization’s game schedule.
Adding Meetings
In addition to games, you can also add meetings to the schedule. This feature allows you to manage and schedule meetings within the same platform.
Mandatory Information for Adding Games
When adding games, the following information is mandatory:
Date
Time (can be set to "TBA" if unknown)
Home and Visiting Teams (if Feature #10 "Use Teams" is enabled)
Location
League (if Feature #11 "Use Leagues" is enabled and it's not a meeting)
Game Code (if it's not a meeting)
If any of these items are unknown at the time of adding the game, you can use the built-in "TBA" options provided by the system:
Home Team and Visiting Team: Use "TBA" and "TBA (2)" respectively. You cannot set both teams to "TBA" or both teams to "TBA (2)".
Location, League, and Game Code: Each has a "TBA" option available.
These "TBA" items are standard with every subscription and cannot be deleted or edited. It is not necessary to create your own "TBA" or "TBD" item.
Troubleshooting and Tips
Verify Permissions: Ensure that users have the appropriate permissions to add games. If a user cannot see the Add Games option, check their permissions settings.
Feature Enabling: If coaches, athletic directors, or league personnel need to add games, make sure Feature #23 is enabled in the System Settings.
Recurring Games: Use the recurring games option for events that happen regularly to save time.
Spreadsheet Format: When importing from a spreadsheet, ensure the format matches the required template to avoid errors.
By following these guidelines and utilizing the various methods available, you can efficiently manage and add games to your officiating organization’s schedule. For further assistance, refer to the detailed instructions within your software or contact support.
