How to import games from SportsEngine

Bring SportsEngine games onto the Master Game Schedule without creating duplicates.

New Horizon Experience. This article describes the New Horizon Experience. You can follow these steps on a computer or in the Horizon WebRef mobile apps for Android and iOS.

Assignors open Import from SportsEngine from the Master Game Schedule. Officials who only work games do not see this. Your organization must have teams turned on, SportsEngine connected, and teams imported first.

Before the first import, read Getting Started with Sports Engine and complete the setup steps.

Watch the walkthrough, then use the steps below. You can follow it on a computer or in the Horizon WebRef apps.

Turn it on and set it up

Only organization administrators can change these settings. Open System Settings. Turn on Feature #10 so teams are on. Connect SportsEngine under Integrations. Then import your teams on Teams so each team has a SportsEngine ID.

When Feature #10 is off, assignors see that teams must be turned on and a link to System Settings. When SportsEngine is not connected, they see a link to Integrations. When no team has a SportsEngine ID yet, they see a link to Teams. Members who cannot change settings can take that wording to an organization administrator.

How to import

Import is three steps in one window: Choose, Preview, then Results.

1. Open Import from SportsEngine

On the Master Game Schedule, open Add (the plus), then tap Import from SportsEngine.

Master Game Schedule on a phone. An orange ring marks Import from SportsEngine in the Add menu.

2. Choose teams

Choose the teams whose schedules you want. The list is the teams you already imported from SportsEngine. Then choose Games to include: Home games only, Away games only, or Home and away games (your organization may use a different word for games). Tap Continue.

The window includes SportsEngine games from today through one year ahead. New games stay unpublished until you publish them on the Master Game Schedule.

If preview is empty, SportsEngine has no games for the selected teams in that date window. Check those teams in SportsEngine. An empty list is not a Horizon problem. You do not need to contact support.

If a team cannot be read, preview names that team and says Horizon could not read this team's schedule from SportsEngine. Nothing was changed for its games. Contact Horizon support. You do not need to contact SportsEngine.

3. Preview, then import

Preview lists what would change, sorted by date, then location name, then time. Counts appear at the top: New, Update, Cancel, Remove (only if SportsEngine marked a game deleted), No change (only if a live SportsEngine-linked game already matches), and Cannot import. An Update row also shows chips for what is different, such as New time, New date, or New location. Uncheck any row you do not want. Tap Import and confirm.

After the run, Results shows how many games were created, updated, cancelled, and removed. Close the window to refresh the Master Game Schedule.

Run it again to pick up changes

You can run this import as many times as you like. Live SportsEngine-linked games are not duplicated. A later run updates those games only when SportsEngine still shows them as scheduled and something on the game is different (date, time, teams, location, league, game code, or length). Matching games are listed as No change and are left as they are.

Run it again when you know many changes happened, including weather cancellations. A weather cancellation lands in Horizon when SportsEngine marks the event cancelled. A game that is simply missing from this fetch is left alone. A missing list can mean a connection limit or a partial download, and Horizon will not cancel or delete from that alone.

When SportsEngine marks a game deleted, Horizon removes it if Master rules allow (unpublished and not already cancelled). If it cannot be removed, Horizon cancels it instead. Assigned officials get the usual cancel or remove emails. New and updated games do not send assignment emails.

A cancelled game stays cancelled and is not changed again. If SportsEngine later shows that event as scheduled, Horizon adds a new game and leaves the cancelled one as it was.

If you still see the older desktop or laptop layout

On the older layout, open Add Games on the Master Game Schedule, then Import from SportsEngine. Choose teams and home or away, then import. The same no-duplicate and weather-cancel notes above still apply, except the older layout does not show the three-step preview.
