Common Email Notifications

A list of the most common email notifications from the software

The Horizon software platform sends a wide variety of system-generated email notifications to help keep users informed and engaged with their schedules, responsibilities, and updates. These notifications are automatically triggered by various actions within the system and are delivered to the appropriate users based on context and permission levels.

💡 This is a partial list of the most common notifications, not an exhaustive one. Notifications are sent only when needed and only to the appropriate users.


Game Assignment Notifications

Game Confirmation Required

Sent to officials immediately when a new assignment is published, or information about an existing game assignment has changed and requires them to re-accept their game assignment.


Purpose: Notify officials that a game has been assigned to them or that game details have changed and require a response.

Game details are intentionally excluded from this email notification to ensure that officials login to the software to review the entirety of their game schedule, any relevant changes, and issue the appropriate response.


This notification is also sent via text message and push notification (if enabled).

Assignment Today

Sent to officials the morning of their game assignment.
Purpose: Reminder of today's game and assignment details.
Includes: Partner info, location, and start time.
Also sent via text message and push notification (if enabled).

Auto-Declined

Sent to both the official and scheduler if an assignment was not accepted within the allowed response time defined by the officiating organization's administrators.
Purpose: Inform parties that the game was auto-declined due to no response.

Upcoming Assignment Reminder

Sent 3 days prior to the game to the assigned official, and includes basic game information such as the date, time, and location.
Also sent as a push notification.

Unaccepted Assignment Reminder

Sent daily to officials when one or more assignments remain unaccepted.

Upcoming Unaccepted Warning

Sent to schedulers 3 days prior to a game if one or more of the assigned officials haven’t accepted.

Assignment Declined

Sent to schedulers when an official declines an assignment.

New TBA Assignment

Sent to officials when they receive an assignment via the TBA system.
Almost identical to the Game Confirmation Required email.

New Turnback Request

Sent to schedulers when an official who accepted a game asks to be removed.


Turnback Request Denied

Sent to officials when their turnback request is denied by a scheduler.

Partner Changed on Game

Sent to an official when a partner is added or changed after the official has accepted the assignment.


TBA (To Be Assigned) System Notifications

New TBA Requests

Sent to selected officials when a TBA request is issued. The recipients of this notification are determined by the sender of the TBA Request, and may include "all officials" or a small subset of officials selected by the sender.

New TBA Response Received

Sent to schedulers when an official responds to a TBA Request. This notification is sent only to the scheduler that issued the original TBA Request.

TBA Closed

Sent to officials who submitted a TBA response but were not assigned.
Only sent if the scheduler closes the TBA & send a notification. Schedulers may choose whether to close the TBA Request & send a notification, or silently close the TBA Request without sending a notification.

Unqualified TBA Assignment Issued

If officiating organizations allow their officials to trade assignments directly via the TBA System, this notification is sent to the original scheduler as a warning when officials swap assignments and the new official is unqualified for the assignment based on the officiating organization's qualification criteria.


Coach & Athletic Director Notifications

Game Added by Coach

Sent to schedulers when a coach adds a game.

Game Cancelled by Coach

Sent to schedulers when a coach cancels a game.
Note: Officials receive a separate "Game Cancelled" notification as well.

Coach Requests Game Change

Sent to schedulers when a coach requests a game edit.

Coach’s Requested Changes Approved/Denied

Sent to coaches when schedulers approve or deny a requested change to game information.

Coach Requests Team Affiliation Change

Sent to administrators when a coach requests team affiliation changes.

Coach’s Team Affiliation Approved/Denied

Sent to the coach after the request is approved or denied.

Coach Upcoming Game Notification

Sent to Coaches and Athletic Directors 3 days before the game with basic game information such as the date, time, and location of the game.

Coach Game Today Notification

Sent to Coaches and Athletic Directors on the morning of the game day. The game day notification may include officials’ names and contact info if access to this information is enabled by officiating organization administrators in their System Settings.

New Suspension Issued

Sent to Coaches and Athletic Directors when a rostered player receives a suspension.
(Only used with the League Management module.)

Coach Rating Reminder

Sent to Coaches to complete official ratings & evaluations.
Sent 15 minutes after game start, then daily for up to 30 days if not completed.
Only sent when the rating system is in mandatory mode.


Administrative & Profile Notifications

Awaiting User Approval

Sent daily to administrators when there are pending self-registrations.

New User Registration

Sent to administrators when a new registration is submitted for review.

User Registration Denied

Sent to users when their registration is denied.

New Organization Membership

Sent to a user when they are added to a new officiating organization.

Account Deactivated

Sent to users when their access to an organization is removed.

User Left Organization

Sent to administrators when a user voluntarily leaves.
Includes: Count of upcoming assignments to be rescheduled.

Login & Account Setup Reminder

Sent daily to officials who were added but haven’t logged in yet.

New User Welcome Email

Sent when a new user is created in the system.
Includes their username and temporary password.

Failed Login Warning

Sent to a user after failed login attempts to their account.


Login Credentials Changed

Sent when a user updates their username and/or password.

Email Address Verification

Sent when a user changes their email address.
Includes a secure link to confirm the new email.

Inactivity Warning

Sent monthly to users inactive for 6+ months.


Game Management Notifications

Game Cancelled

Sent to officials when their game is cancelled.
Also sent via text message and push notification (if enabled).

Game Deleted Receipt

Sent to schedulers/admins when a game is permanently deleted.

New Game Note Added

Sent to officials when a scheduler posts a note on an assigned game.


Ratings, Evaluations, & Reports Notifications

New Rating Received

Sent to officials when a new rating or evaluation is published for them to view.

New Incident Report Filed

Sent to schedulers and league personnel when an official files a report.


Custom Fields, Documents & Memos

New Custom Field Entry

Sent to administrators when a user submits a new value for a custom field (with Auto-Expire ON).

Custom Field Auto-Expired & Removed

Sent to both users and admins when a custom field entry expires.

New Document Uploaded

Sent to users when a new file is added for them.
Only sent if uploader enables notification checkbox.

New General Memo

Sent when a general memo is published (if notification is enabled by the sender).


Communication Notifications

New Message from the Administrator

Sent immediately to officials when a new Message is published with the email option enabled.

New Video Added

Sent to users when a new video is uploaded to the library.

New Travel Accommodations

Sent to officials when a travel item (flight, hotel, etc.) is added to their game.

Forum Reply

Sent when someone replies to a forum topic the user is participating in. Also sent via push notification, if enabled.


Payment Center Notifications

Payment Received

Sent to officials when a payment is sent to them through the Payment Center.


Birthday & Fun

Happy Birthday

Sent on your birthday as a fun greeting from the Horizon team!
