New Horizon Experience. This article describes the New Horizon Experience, which is available now. As of September 28, 2026, New Horizon is the default starting point on a computer or laptop. In the Horizon WebRef mobile apps for Android and iOS, New Horizon is already what you see. If you still have the older layout, choose Switch to New Horizon from the banner or your account menu. You can switch back to Legacy Horizon from that menu any time during the transition.
This article is for organization administrators in Staff Scheduler organizations. Everyday staff who only take assignments do not manage the library. Use it when you need projectors, computers, carts, or other shared items tracked against the schedule. Your organization may use its own word for events (for example Event or Class); match the labels you see on screen.
Turn on and open Resources
Resources appear in Staff Scheduler organizations. Open Resources from the navigation menu (or Manage Resources from Administrative Forms when that is how your role reaches it).
The page title is Resources. The subtitle says Add and manage finite items and equipment you can reserve on the schedule. Summary cards show Total Resources, Total capacity, and Zero capacity.
Optional: in System Settings, set Resource After-Use Buffer so a shared item stays reserved for a short time after an event ends before it can be used again. Help on the Resources page can open System Settings (resource buffer).
How this works
Open How this works on the Resources page when you want the short overview. Resources are finite items you attach or reserve on the schedule so you do not overbook them. Examples include projectors, computers, and audio or visual equipment.
Add each resource type with a clear name (for example Projector - Room A).
Set how many of that resource can be scheduled at the same time (1 to 500).
Reserve them on the schedule so capacity stays accurate.
Add a resource
Choose Add, then Add Resource. The editor opens with Basic details.
Resource name — one resource type you can reserve on the schedule (for example Projector or Laptop Cart).
How many do you have? — a whole number from 1 to 500 for how many can be scheduled at the same time.
Choose Add to save. Horizon shows Resource saved. Names must be unique. Placeholder names such as TBD or test are not allowed.
Find, filter, and edit
Use Search resources to narrow the list. Filters include Has capacity and Zero capacity, with Clear filter when you want the full list again. Cards can show a Capacity or Zero badge. Choose Load more when the list continues.
Open a resource to edit. The title is Edit Resource. A warning reminds you that saving updates this item and does not create a new one. Change the name or quantity, then Save changes.
If the list is empty, you see No resources yet and Start by adding the resources you reserve on your schedule.
Export and delete
Open Utilities, then under Export Data choose Export resources to download a spreadsheet of the library.
To remove resources, select one or more rows. The bar shows how many are selected. Choose Delete selected (or clear the selection). Horizon asks you to confirm. For bulk deletes you may need to type a confirmation phrase exactly, such as DELETE followed by the count and RESOURCES. Deleted resources are no longer available for new reservations.
Reserve resources on the schedule
On the Master Schedule, open the three-dot menu on an event and choose Assign resources. The panel title is Assign resources.
Each row shows Resource, Maximum reservable (what is still free after overlapping events and your after-use buffer), and Reserved (how many you set for this event). Enter quantities, then Save reservations. When it works, Horizon shows Reservations saved.
If a prior reservation exceeds what is free now, you see CONFLICT on that row so you can correct it without guessing.
When the library is empty, the panel shows No resources found and asks you to add resources for your organization, then reserve them for this event. Use the Add resources link to open the library.
If you still see the older layout
On a computer or laptop, the older legacy layout stays only if you switched back to Legacy Horizon. As of September 28, 2026, New Horizon is the default starting point. Choose Switch to New Horizon from the banner or your account menu to return. This article describes the New Horizon Resources library and Assign resources panel for Staff Scheduler. Until that older layout is retired, use the English words you see there for any older resource screens your organization still has.
