How to compose and send email

Write messages to people in your organization, choose recipients, and watch delivery progress.

New Horizon Experience. This article describes the New Horizon Experience, which is available now. As of September 28, 2026, New Horizon is the default starting point on a computer or laptop. In the Horizon WebRef mobile apps for Android and iOS, New Horizon is already what you see. If you still have the older layout, choose Switch to New Horizon from the banner or your account menu. You can switch back to Legacy Horizon from that menu any time during the transition.

This article covers Compose Email (messaging) for signed-in members whose organization has messaging enabled. Use it when you need to email officials, coaches, contact groups, or a custom list of people, attach files, or review received and sent messages.


Open Compose Email

In the New Horizon Experience, open messaging from the side navigation or the account tools your organization exposes for email. On a phone, Compose Email often opens as a full-height panel so you can pick recipients and write without leaving your place. On a computer, you get the wider compose layout with tips beside the form.

You can also start from related tools. The Members Directory can hand you a list of people to email. Master Game Schedule can prefill official recipients when you email a selection of officials. Those paths land you in the same compose experience.


Choose recipients

Open Select Recipients. You can pick people from your organization directory, choose a whole type of member when your organization offers that shortcut, or select one or more Contact Groups. Use search to find someone's name quickly. Select visible and Clear all help when the list is long.

Combining contact groups, type shortcuts, and individuals can overlap. Each person still receives only one email. If your organization sets a maximum number of recipients per message, you will see a clear error when you go over that limit.

When your organization allows it, Select by Proximity finds people near a location within a distance you enter (at least 3). You must choose a location for that search.


Write and send

Enter a Subject and message body. Subjects that are all uppercase or all lowercase are blocked because they often look like spam. You can send without a subject, but you will see a warning first.

Attachments are limited to 7 MB per file and 10 MB total for the message. Unsupported file types are rejected with the file name called out.

Choose Send Message (or Send Email Now when that wording appears). Large sends continue in the background. Watch the status ribbon for queued, sent, failed, and remaining counts. You can dismiss the ribbon when you are done watching.

Drafts can save automatically while you work. If a draft is recovered, you will see when it was saved.


Received, sent, and text messages

From messaging you can open Received Messages, Sent Messages, and SMS Messages when those views are available. Use them to confirm delivery or find an earlier conversation.


Contact groups

Reusable recipient lists live under Contact Groups. From the compose tips area, choose Manage contact groups when you need to build or edit a group before you send. See the Contact Groups article for full group management.


If you still see the older layout

On a computer or laptop, the older legacy layout appears only if you switched back to Legacy Horizon. Choose Switch to New Horizon from the banner or your account menu to return. Menu names below may sit under Administrative Forms or the classic side menu instead of the New Horizon navigation. The jobs you can do on the page stay the same even when the chrome looks different.
