New Horizon Experience. This article describes the New Horizon Experience, which is currently available only in the Horizon WebRef mobile apps for Android and iOS. It is coming soon to desktop and laptop.
This article covers Teams in HorizonWebRef - the organization administration page where you create and maintain the teams that appear on schedules, standings, and assignments.
It is for organization administrators with team-management access. Use it when you need to add a team, update team details, or deactivate a team that should no longer be scheduled. Coaches requesting affiliation changes use a different workflow.
Watch the walkthrough, then use the steps below. You can follow it on a computer or in the Horizon WebRef apps.
Turn Teams on
Teams are optional. Organization administrators turn them on or off in System Settings with Feature #10 (Use Teams, or your organization's word for teams). Most organizations leave this on. When Feature #10 is off, Teams is not used when you build the schedule.
Schedulers, assignors, and organization administrators can add and edit teams. Coaches, athletic directors, League Personnel, and location personnel cannot add teams themselves. They need an administrator who has team access to add the team or turn Feature #10 on.
Add a team
Open Teams from the organization administration area. Select Add, enter a clear team name, and save. An abbreviation is optional. Use one when you want a short identifier that saves space.
Each team record should be one competing team with its own coaches and players, not the whole school or organization. Use a structured name when several teams share one school or club, such as:
Tigers - Varsity
Tigers - JV
Tigers - U10 Boys
Tigers - U10 Girls
Tigers - U12 Boys
Tigers - U12 Girls
Lions - Girls Team A
Lions - Boys Team B
Sharks - PeeWee A
Eagles - 12U
When your organization uses home and away scheduling, turn on Usable as home team, Usable as away team, or both. At least one must be on to add the team. Both on means the team can appear in either role when someone enters a game. Turn one off when that team should not be offered as home or as away. Choose the locations the team uses when it is the home team so schedulers only see valid combinations. Coaches and other team personnel cannot change those home and away settings.
Team contacts
Open a team and use the Contacts section. The Members tab is the preferred place to manage coaches and athletic directors: it lists directory users already linked to the team.
Use Add to either create a new Coach or Athletic Director with this team selected, or link an existing directory Coach or Athletic Director so this team is added to their current team list.
Selecting a member opens that user's permissions so you can update their role or team links. After you save or link, the Members list refreshes while the team editor stays open.
The Simple contact tab keeps an optional free-text name and phone on the team record for older workflows. Prefer Members Directory contacts when you can. Website is no longer edited on the team.
When you are adding a new team, save it first before directory members can be linked.
Find and manage teams
Use search to find a team by name. Matching results appear with checkboxes. Scrolling loads more results automatically.
Open any team to edit it. Deactivate a team when it should no longer be selected for new games. Deactivated teams stay in your records and can be restored by adding a team again with the same name.
For several teams at once, select them from the list or from search results, or use Select all matching for every active team whose name contains your search text. Then use the bulk action bar. Bulk deactivation requires a typed confirmation such as DELETE 12 TEAMS.
Utilities
The Utilities menu includes export, import, and team block settings when your organization uses them. Export a spreadsheet before a major update when you want a reference copy. Organizations that use Sports Engine can follow the Sports Engine setup article for team import.
Helpful reminders
Each team record should be one competing team, not the whole school or organization. Names managed by a connected integration may be locked. Home and away settings control which teams appear when you enter games.
