How to manage Locations

Add and manage the venues where your games and meetings take place.

This article covers Locations in HorizonWebRef - the organization administration page where you maintain venues and sites used for games and meetings.

It is for organization administrators with locations access. Use it when you need to add a venue, correct an address or map pin, or deactivate a location that should no longer be scheduled. If Locations is not shown under organization administration, your organization has not granted that access.

Your organization can rename Locations to match how you talk about venues. The page title may say Venues, Fields, Arenas, Ice Rinks, Schools, Facilities, Gyms, Grounds, or another term the organization chose. The steps stay the same.

One location per field or surface

If one site has multiple fields or playing surfaces, create a separate location for each one. Do not combine them into a single entry.

For example, instead of one Main Park, add a unique name for each surface:

  • Soccer Complex - Field A

  • Soccer Complex - Field B

  • Community Gym - Court 1

  • Community Gym - Court 2

  • Ice Arena - Rink 1

  • Ice Arena - Rink 2

  • Local Park - Field 1

  • Local Park - Field 2

The same idea applies to courts, diamonds, pitches, and other surfaces at the same address.


Add a location

Open Locations from the organization administration area. Select Add, enter a clear name, and provide a real street address that includes a street number.

Locations on a phone. This organization calls them Ice Rinks. The green Add button is circled above a searchable list of venues.

Mark whether the location is usable for games, meetings, or both. United States addresses are checked against postal validation before save. You can correct suggested changes or continue if you need to keep the address as entered.


Map and GPS

A complete address lets Horizon provide directions, mileage, and map placement for officials and schedulers. When a location has map coordinates, open it to review the pin. Drag the pin if the point is wrong, then confirm the update. Correct GPS keeps the map accurate for scheduling.

The summary panel shows how many locations are still missing GPS so you can finish those next.


Find and manage locations

Use search to find a location by name. Matching results appear with checkboxes. Scrolling loads more results automatically.

Open any location to edit it. Deactivate a location when it should no longer be selected for new games or meetings. Deactivated locations stay in your records and are not offered for new use.

For several locations at once, select them from the list or from search results, or use Select all matching for every active location whose name contains your search text. Then use the bulk action bar. Bulk deactivation requires a typed confirmation such as DELETE 12 LOCATIONS.


Utilities

The Utilities menu includes export, import, and location block settings when your organization uses them. Export a spreadsheet before a major update when you want a reference copy.


Helpful reminders

Create a separate location for each field or playing surface at the same site. Names managed by a connected integration may be locked. Keep addresses complete so mapping can work reliably. Officials may also use location block preferences when your organization allows it.
