When your officiating organization purchases a multi-year subscription on HorizonWebRef.com, it's important to understand how pricing for Add-On Licenses is calculated throughout the life of your subscription. This article explains how the cost of additional user licenses is determined when you're subscribed to a 2-year, 3-year, 5-year, or any multi-year subscription term, and how discounts are applied based on the exact time remaining.



What Are Add-On Licenses?

Each subscription includes a fixed number of user licenses based on the package you purchased. If you run out of licenses and need to add more users, you have two options:

  • Delete an existing licensed user to free up a spot.

  • Purchase additional licenses, called Add-On Licenses, in increments of 5.

Key Add-On License Policies

  • Add-On Licenses expire at the same time as your main subscription, regardless of when they are purchased.

  • Licenses are not prorated, even if only a few months remain in your subscription term.

  • Pricing is based on the subscription package selected at the beginning of the term.

  • You cannot change your subscription package mid-term to receive different license pricing.

  • Discounts are based on the exact time remaining in your subscription—not what year you're currently in.



Understanding "Time Remaining"

⚠️ Important: “Time remaining” refers to the actual remaining time in your subscription—not the subscription year or what “stage” of the subscription you’re in.


For example:
If you have 18 months left on a 3-year subscription, you are in year 2, but your time remaining is less than 2 years. Therefore, your discount will follow the "Between 1 and 2 years remaining" tier, not the 2–3 year tier.



Add-On Pricing Discounts for Multi-Year Subscriptions

The base price in these examples is $5 per user, per year. Discounts are applied based on your exact time remaining at the time of purchase:

Less than 1 year remaining

  • No discount

  • $5 × 1 year = $5/license

  • 5-pack = $25

Between 1 and 2 years remaining

  • 5% discount

  • $5 × 2 years = $10 − 5% = $9.50/license

  • 5-pack = $47.50

Between 2 and 3 years remaining

  • 10% discount

  • $5 × 3 years = $15 − 10% = $13.50/license

  • 5-pack = $67.50

Between 3 and 4 years remaining

  • 10% discount

  • $5 × 4 years = $20 − 10% = $18.00/license

  • 5-pack = $90.00

Between 4 and 5 years remaining

  • 10% discount

  • $5 × 5 years = $25 − 10% = $22.50/license

  • 5-pack = $112.50

These examples assume a $5 base license price for simplicity. Your actual license pricing depends on your organization's selected subscription package. You can view this by going to the Subscription tab in your System Settings.



Example Scenario

Let’s say your organization purchased a 5-year subscription at $5 per user per year:

  • If you purchase add-ons with 4.5 years remaining, you’d pay:
    $5 × 5 years = $25 − 10% = $22.50/license, 5-pack = $112.50

  • If you purchase with 1.5 years remaining, you’d pay:
    $5 × 2 years = $10 − 5% = $9.50/license, 5-pack = $47.50

  • If you purchase with 9 months remaining, you’d pay:
    $5 × 1 year = $5/license, 5-pack = $25.00



Summary

  • Add-On Licenses are sold in 5-packs and are not prorated.

  • Pricing is based on your original subscription package and exact time remaining.

  • Discount Tiers:

    • 10% if more than 2 years remain

    • 5% if between 1 and 2 years remain

    • 0% if less than 1 year remains

  • Licenses expire with your subscription, regardless of purchase date.

  • You cannot change your subscription package to adjust license pricing mid-term.
