How to use AI Assign

Build AI-powered assignment proposals from your Master Game Schedule, review every pick, and apply only what you approve.

New Horizon Experience. This article describes the New Horizon Experience, which is available now. As of September 28, 2026, New Horizon is the default starting point on a computer or laptop. In the Horizon WebRef mobile apps for Android and iOS, New Horizon is already what you see. If you still have the older layout, choose Switch to New Horizon from the banner or your account menu. You can switch back to Legacy Horizon from that menu any time during the transition.

AI Assign is Horizon’s intelligent assigning assistant. It studies how you already schedule, then proposes crews for open spots on unpublished games. You stay in control: nothing is placed on the schedule until you review the proposal and choose what to apply. Hard eligibility rules in your organization always come first. Soft preferences only rank people who are already eligible.

Assignors open AI Assign from the Master Game Schedule. Officials who only work games do not run AI Assign unless they also assign. AI Assign is marked Experimental. It is evolving quickly, so limits, wording, and behavior may change at any time without notice. Always review proposals before you apply them.

AI Assign is different from Auto-Assign. Auto-Assign fills spots with a deterministic plan from options you set. AI Assign uses HorizonAI to mimic your assigning style, honor your guidance and memory notes, and keep crews sensible across same-site sets - then asks you to approve the result.

Who can use it and how to get started

​

You need Assignor access as an Official in the organization. During the early preview, AI Assign is offered to invited organizations and accounts. If you do not see AI Assign on Master Game Schedule, your organization is not on the preview yet.

There is no separate System Settings switch for AI Assign today. When the preview is enabled for you, the control appears under Utilities → Scheduling tools. Organization administrators can still shape ranking with Advanced preferences inside AI Assign. Hard qualification rules stay in System Settings and your usual assigning tools.

Plans and limits

​

Every organization on AI Assign has a plan tier. Limits are per organization. Paid tiers are coming soon; until then, most organizations use the free preview plan. Exact prices are not listed here.

​

Current tiers and proposal limits:

​

  • Free (preview default) - up to 40 games per proposal; 2 proposal runs per day, 5 per week, 10 per month.

  • Standard (paid, coming soon) - up to 250 games per proposal; 8 / 25 / 80 runs per day / week / month.

  • Pro (paid, coming soon) - up to 2,000 games per proposal; 15 / 50 / 150 runs per day / week / month.

  • Elite (paid, coming soon) - up to 3,000 games per proposal; 25 / 80 / 250 runs per day / week / month.

Higher tiers also keep a larger active Memory budget so HorizonAI can retain more of your scheduling notes. Because AI Assign is experimental, these numbers can change suddenly. If you hit a limit, wait for the next day or week window, narrow the game set, or contact Horizon if you need more capacity.

What HorizonAI learns from you

​

Before your first proposal, AI Assign asks you to Learn my assigning style. That pass reads this organization’s assignment history with a focus on how you schedule - sites, game codes, leagues, partners, timing, and loads - so proposals can mimic your style first. Shared organization patterns already learned are reused; anything still missing is filled in for everyone.

If there is no assignment history yet, you can Continue without learning and still build proposals from eligibility, advanced preferences, and any Memory notes you add. After real history exists, run learning so HorizonAI can pick up your style.

​

Later, use Update from new assignments to fold in work done since the last pass. Each proposal session can also quietly notice newer assignments it has not evaluated yet. Learning never overrides hard eligibility.

Open AI Assign

​

On Master Game Schedule you can select unpublished games with open spots first, or open AI Assign with no selection and choose games inside the tool.

On a computer, open Utilities, then Scheduling tools, then AI Assign (it shows an Experimental badge). On a phone, open Utilities (or Actions when you have games selected), then Scheduling tools, then AI Assign.

Build a proposal

​

AI Assign walks through five steps: Setup, Games, Guidance, Planning, then Review.

​

1. Setup

​

Finish learning (or continue without learning when there is no history). You can open Memory and History from here anytime. Tap Continue when Setup is complete.

2. Games

​

Choose a Date range, then Find games. Only unpublished assignable games with openings in this organization appear. Pick All open games in this summary or Choose specific games. If you already checked games on Master, those stay selected under Choose specific. Tap Continue.

3. Guidance

​

Optional notes for this run only - travel, crew balance, partners, sites, leagues, mentoring, or who should get more work. Hard eligibility still wins. Tap Build proposal when you are ready. You can also Check readiness first if you want a quick readiness check.

4. Planning

​

HorizonAI builds the proposal in the background. You can close the window and keep working - you get a device notification when it finishes. Reopen AI Assign to check progress or jump to Review. Use Cancel planning if you need to stop.

5. Review and apply

​

Each card is one game - date and time on the left; league, game code, teams, and site on the right - with the proposed crew underneath. Check the proposals you want. Tap an official for short reasons (for example that they continued a same-site set, matched your style, or filled a gap). Nothing is assigned until you apply.

Choose Apply selected, Apply all proposed, or Apply & hold rest (places your checks and keeps the rest on this list as Held for later - Held is not assigned yet). You can Hold for later, Reject, or Change official on a single proposal. Assignment emails are not sent from AI Assign. Publish games afterward when you are ready for officials to see them, the same way you would after manual assigning.

If a proposal is not right, use Not right to tell AI Assign what was wrong. That feedback can be remembered for only you, only you in this organization, everyone in this organization, or (when allowed) more broadly - according to the scope you choose.

Memory

​

Memory is the main place you keep durable scheduling notes for HorizonAI - preferred crews, sites to favor, patterns to avoid, and similar guidance. Every active note is used when a proposal is built (within your plan’s memory budget). Higher tiers keep more active notes.

Open Memory from AI Assign. Filter by All, Organization (organization administrators), My global, or My in this organization. Add a note, or remove one when it no longer applies. Removed notes stop affecting new proposals.

Advanced preferences

​

By default, AI Assign tries to schedule the way you already would - your habits, trusted crews, preferred partners, and sites you use. When you do not have enough history, it leans on other schedulers in the organization. If the organization has little history yet, it follows general scheduling best practices. Hard eligibility always comes first.

​

Open Advanced preferences when you want to tip that ranking. Start from a preset such as Match my style, Spread the work more evenly, Protect scarce officials, or Keep travel light. Adjust how much each idea matters (Off / Low / Medium / High), and set travel buffer, heavy roles per day, mentor rank, games per set, same-set window, and minimum rest between sets. Changes save automatically for the next AI Assign session. Only organization administrators can change these preferences.

History and undo

​

History lists recent applies from AI Assign for this organization. Undo removes assignments from that session when they are still unaccepted, within two hours. Published, accepted, past, and cancelled assignments stay where they are. Undo is not available twice for the same batch.

Important notes

​

  • AI Assign is Experimental and may change without notice.

  • Always review before you apply. You choose every assignment that lands on the schedule.

  • Assignment emails are not sent from AI Assign.

  • Publish games when you are ready for officials to see them.

  • Another assignor planning the same games can block a run - wait or choose a different set.

  • Usage limits are per organization and per plan tier.

If you still see the older layout

​

AI Assign is only in the New Horizon Experience. If you still have the older legacy desktop or laptop layout, choose Switch to New Horizon from the banner or your account menu, then open Master Game Schedule and look for AI Assign under Utilities → Scheduling tools. Mobile apps already use New Horizon.
